KEY PURPOSE

The Admin Assistant (AA) is a part of the organisation's Corporate Services Team. The AA will support the Office Manager, with a variety of tasks related to the organisation’s operations. This position will provide high level administrative support related to building management and customer support services to ensure effective day to day operations across the organisation. This is a Permanent Part-time role, 19 hrs/week.

ACCOUNTABILITIES

1. Report to and work under the supervision of the Office Manager to contribute effective and efficient customer services across, including reception coverage, mail, and incoming calls at the head office, as well as room booking

2. Help maintain accurate records of administrative assets registers for vehicles, keys, proximity cards, laptops, mobiles and other company properties, and suppliers and contractors list with contact details

3. Contribute to adequate office supplies including consumables and equipment with reasonable inventory level for uninterrupted business operations

4. Assist in repair & maintenance, including but not limited to building, equipment, and regular checks/tagging

5. Assist in fleet management (internal and leased), including registrations, insurances, servicing, booking, usage and other administrative tasks, with the Office Manager

6. Liaise with building managers or landlord office for administrative property compliance, repair and maintenance, especially WHS related when urgent or required

7. Work with the Office Manager to provide records following requests from the Quality, Risk and Compliance Team and People & Culture Team in relation to compliance and/or audits

8. Provide administrative support to other teams following the approval of the Office Manager

9. Adhere to the employer’s Mission, Vision and Values and contribute to a harmonious and positive workplace

10. Other duties commensurate with the nature of this position
